Echo NDE is currently seeking an Operations Coordinator to join our team in Red Deer, AB.

 

Reporting to the Division Manager, the Operations Coordinator will oversee the planning, scheduling, and dispatching of technical staff and resources to meet customer service requests.

 

This role is responsible for coordinating daily operations, ensuring effective resource utilization, supporting customer requirements, and maintaining accurate documentation related to service requests, invoicing, and employee compensation.

 

Responsibilities

  • Receive and respond to verbal and electronic customer service requests and ensure work orders accurately reflect customer requirements.
  • Plan, schedule, and dispatch technical staff and resources to efficiently meet customer needs.
  • Balance workload, priorities, and customer requirements to ensure effective utilization of technical staff and equipment.
  • Ensure technical personnel have the appropriate skills, certifications, tools, and equipment required to complete assigned work.
  • Coordinate travel and accommodations for technical staff as required.
  • Provide technical staff with clear and timely information regarding work assignments and customer requirements.
  • Track service and work orders and review daily time records (DTRs) for accuracy.
  • Review reports and supporting documentation to ensure customer invoices and employee payroll/compensation are accurate and processed in a timely manner.
  • Build and maintain productive relationships with customers through regular communication and follow-up.
  • Develop an understanding of customer business cycles and upcoming needs to support service planning and identify potential business opportunities.
  • Work with customers to clarify resource requirements and ensure service requests are effectively supported.
  • Quickly and effectively manage scheduling issues, conflicts, and changing priorities to maintain a smooth workflow.
  • Assist with departmental budgeting and capital planning as required.
  • Maintain and update the technical staff roster.
  • Coordinate safety, radiation safety, and other required training for technical personnel.
  • Support the recruitment and onboarding of qualified technical and support staff.
  • Identify opportunities to improve employee satisfaction, engagement, and retention.
  • Recommend training and development opportunities to improve employee skills and resource utilization.

Requirements

  • Post-secondary education in business, operations, administration, or a related field is preferred.
  • Minimum 2 years of industry-related experience, preferably within NDT, inspection, industrial services, or a related environment.
  • Knowledge of technical services and service lines to effectively deploy personnel and resources.
  • Understanding of customer technical requirements and the ability to determine appropriate resource needs.
  • Knowledge of equipment and resources required to perform various testing and inspection services.
  • Knowledge of applicable collective agreements and the ability to ensure compliance with relevant terms and conditions is an asset.
  • Strong interpersonal and communication skills with the ability to effectively interact with customers, technical staff, management, and other internal and external stakeholders.
  • Proficiency with Microsoft Outlook, Word, and Excel.
  • Excellent organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.
